Let’s be honest, planning a party is a lot of work. Even when it’s a small gathering, there are several moving parts when it comes to planning a party.

From guest lists and food to decorations and timing, it’s easy to forget something important. That’s why I love using a checklist.

A checklist helps you:

  • Stay organized from start to finish.
  • Break down tasks into smaller, more manageable steps.
  • Avoid last-minute stress.
  • Keep your budget in check.
  • Feel confident that everything that needs to be done is done.

Step 1: Set the Foundation (6–8 Weeks Before)

This is where your party starts to come to life.

Set a date & time for the party:

  • Choose a date that works for your schedule and gives guests enough notice.

Choose a theme:

  • Your theme helps guide everything, from decor to food to invitations.

Set a budget:

Before you book or buy anything, decide how much you want to spend.

Break your budget into categories:

  • Venue
  • Food & drinks
  • Decorations
  • Entertainment
  • Party favors

Create the guest list:

Think about:

  • How many people you can comfortably host
  • The type of event (intimate vs. large gathering)
  • Whether it’s adults only, family-friendly, etc.

Choose a venue (if needed):

Depending on your party, you might choose:

  • Your home
  • A restaurant
  • Event space
  • Outdoor park

Tip: Consider parking, accessibility, and weather if outdoors.

Research & book vendors:

If needed, start securing:

  • Caterer
  • Photographer
  • DJ or entertainment
  • Rental companies (tables, chairs, linens)

Tip: The earlier you book these, the more options you’ll have.

Step 2: (3–6 Weeks Before)

Now it’s time to start locking things in.

Prepare/order invitations (physical or digital):

  • Choose a design that matches your theme.
  • Digital invites are quicker…printed invites feel more formal.

Send invitations:

  • Send early enough for guests to plan ahead.
  • Include all key event details: date, time, location, RSVP info, dress code (if any).

Track RSVPs (set a deadline for RSVPs):

  • Keep a running list (notes app, spreadsheet, etc.).
  • Set a clear RSVP deadline to avoid last-minute confusion.

Order cake:

  • Choose size based on guest count.
  • Match design to your theme.
  • Ask about pickup vs. delivery.

Plan menu:

  • Decide between catering, homemade, or a combination of the two.
  • Consider dietary restrictions.
  • Think about food variety (savory, sweet, light options).

Order decorations:

  • Balloons, banners, centerpieces, signage
  • Order decorations early to avoid rush shipping or any items being out-of-stock.

Step 3: (3 Weeks Before)

Start putting everything together.

Finalize menu:

  • Confirm all food items.
  • Double-check quantities based on RSVPs.

Organize decorations:

  • Group items by area (table, entrance, photo area, etc.).
  • Make sure everything has arrived.

Plan activities:

  • Games, contests, or light entertainment
  • Keep it simple.

Buy serving supplies:

  • Plates, cups, napkins
  • Utensils and serving trays
  • Tablecloths

Check in with anyone who is helping with the party:

  • Confirm who is helping with setup, food, or cleanup.
  • Clearly communicate timing and expectations.

Create a playlist:

  • Have the songs you choose match the vibe of your party.
  • Keep the playlist long enough so you don’t have to manage it during the event.

Step 4: (1-2 Weeks Before)

Time to confirm and prep.

Follow up on missing RSVPs:

  • Reach out to anyone who hasn’t responded (this helps finalize your numbers).

Confirm with the venue and the caterer:

  • Double-check date, time, and details.
  • Review setup, delivery, and timing.
  • Buy non-perishables
  • Drinks, packaged snacks, paper goods
  • Anything that won’t spoil

Check tableware & utensils:

  • Make sure you have enough for all guests.
  • Include extras just in case.

Order additional decorations:

  • Balloons, flowers, or last-minute items
  • Schedule delivery or pickup.

Step 5: (3-5 Days Before)

Everything should start coming together now.

Confirm RSVPs & finalize headcount:

  • This impacts food, seating, and setup.

Create a food shopping list (if cooking):

  • Break it down by category (produce, drinks, etc.)
  • Plan for prep-friendly items

Put together party favors/prizes:

  • Keep them simple and easy to distribute.
  • Prizes are optional but a nice touch.

Purchase remaining food items:

  • Focus on fresh ingredients.
  • Don’t forget ice and drinks.

Finalize party layout:

  • Where will food go
  • Seating areas
  • Gift table (if applicable)

Step 6: (1 Day Before)

Step 8: After the Party

Clean up:

  • Tackle what you can right away.
  • Leave deeper cleaning for the next day if needed.

Check with venue and vendors:

  • Return rentals if needed.
  • Confirm everything is wrapped up.

Send thank you notes (as needed):

  • A quick message or note goes a long way.
  • Thank you notes are especially important for gifts or any special contributions.
